A virtual transition

My office has a printer, fax machine and office phone that sit in the corner gathering dust. I have hundreds of clients and client files. Each file has several documents of information, paperwork and more, but only a single piece of paper in them. Oh, one more thing the office phone never rings.

How I could possibly run a business if I don't use essential office equipment and never hear the phone ring? How could I keep client files with several documents of information and paperwork if there is only one piece of paper in the file? What about printing and faxes? Simple, I've made the virtual transition.

The virtual transition consist of:

Phone calls: My clients call me on my skype account or computer to computer. Skype is easy to download on your computer. Just go to their main website. They have a great office package that includes video and up to 10 callers on a conference at one time. You can add Paypal to Skype and more! After initial contact through Skype, my clients email me from there on in. This is done so that we can keep a written account of our conversations.

Office equipment: Clients send and receive paperwork via scanners. Scanners are not costly and end up saving our clients more money and time. It's instant! No more waiting for the documents to arrive in the mail. For clients who don't own a scanner, we encourage them to purchase one to save time and money! Scanners are very inexpensive these days.

Paperless files: When a file is completed the client prints out the documents, signs them and sends them to us in the mail. When we receive the signed documents we send them to the appropriate entity and a copy set is made for the office and our client on CD.

Being a virtual office has streamlined my business by saving time, providing efficient service to the client, conserving on paper, ink, printers, faxes and phone calls! My office expenses are a fraction of what they used to be and my overhead has been cut back significantly. I used to have three office assistants and now I'm down to one and my client base steadily increases! The scanner and skype have made my business what it is today, a virtual success! These practices may not work entirely for your office situation, but perhaps some of them could be incorporated.

By the way, in case you were wondering, that single piece of paper in the paperless file is a contract signed by my client!
